LOGISTICAL DOCUMENTATION

FOR JOURNALISTS ADMITTED TO THE PAPAL FLIGHT

1.     Admission to the Papal Flight

1.1. In order to apply for admission to the Papal Flight for the Apostolic Journey of His Holiness Francis to Lithuania, Latvia and Estonia¸ from 22 to 25 September 2018, the Accreditation Office of the Holy See Press Office in Via della Conciliazione 54, ROMA, is open from Monday to Friday, on workdays (according to the Vatican calendar) from 11:00 to 13:00.

1.2. The deadline for applications for admission to the Papal Flight is Thursday, 12th July, 2018 at 12.00 noon.

1.3. Applications not accompanied by complete documentation or received after the deadline for presentation of requests will not be taken into consideration.

1.4. Applications for admission or substitution of the individual concerned will not be admitted after the publication of the List of journalists admitted to the Papal Flight.

1.5. The Logistical documentation for journalists admitted to the Papal Flight, the Specific form for the Apostolic Journey of the Holy Father Francis to Lithuania, Latvia and Estonia and the Form for temporary accreditation at the Holy See Press Office (for those who are not yet accredited) are available, along with all published information:

­ at the Holy See Press Office in Via della Conciliazione, 54, Rome;

­ in the section Apostolic Journeys of the Holy Father in the area Communicazioni di Servizio of the we page of the Holy See Press Office (available under Servizi di informazione on the www.vatican.va homepage), which is regularly updated.

1.6. Journalists (reporters, photographers and media operators) who intend to apply for admission to the Papal Flight are requested to present the documentation, following the instructions provided below, at:

a.   For holders of accreditation badges issued by the Holy See Press Office:

Holders of an accreditation badge (temporary, ordinary/permanent, or service), valid until after 25 September 2018 are requested to present, at the moment of applying for admission to the Papal Flight, therefore, by Thursday, 12th July, 2018 at 12:00:

· Letter from the Directorate of the agency represented, requesting admission to the Papal Flight for the Apostolic Journey of His Holiness Francis to Lithuania, Latvia and Estonia, and confirming the professional status of the journalist; role in relation to information on the Holy See; and commitment to observing the ethical norms of journalism, in particular those relating to embargo (please do not include other information and logistical requests, which must be addressed, by separate communication, to the Assistant to the Director of the Holy See Press Office).

· Specific form, available in paper format from the Holy See Press Office and, on the web, in the section “Viaggi Apostolici del Santo Padre” in the area “Comunicazioni di Servizio” of the website of the Holy See Press Office (available under “Servizi di informazione” from the www.vatican.va homepage), for

- application for admission to the Papal Flight;
- request for tags for personal luggage and for eventual additional work luggage, either to be carried on board or checked in (see point 7);
- undertaking the commitment to observe the conditions of admission to the Papal Flight (see point 1.8).

· Photocopy of passport with which the applicant intends to travel, which must be valid, with at least two clean pages and with expiry date after 25 March 2019 (see point 5).

 

b.   For those who are not accredited at the Holy See Press Office:

Those not possessing an accreditation badge issued by the Holy See Press Office valid until after 25 September 2018 are requested to present, in addition to the documentation indicated in point 1.6a:

· APPLICATION FORM for temporary accreditation, provided by the Holy See Press Office (see point 1.5);

· Copy of the PROFESSIONAL CARD (for those from countries where this exists);

· Recent PHOTO, passport format, in colour, signed on the back (if sent by e-mail, in JPEG format).

1.7. Journalists not accredited at the Holy See Press Office, who wish to apply for admission to the Papal Flight:

a.   if not resident in the countries visited, are requested to send their application also to the Episcopal Conference of the country of residence;

b.   if resident in the countries visited, are requested to send their application to the general Coordinator, on the part of the Church, of the information structure for the Apostolic Journey of His Holiness Francis to Lithuania, Latvia and Estonia (see point 9.2). The applicant must simultaneously follow the procedure indicated in point 1.6b, sending a copy of the completed application by e-mail (point 1.6).

1.8. By presenting the application for admission to the Papal Flight, the applicant who will be admitted undertakes to:

· depart from Rome and return to Rome on the Papal Aircraft;
· follow the planned internal routes;
· pay for all expenses relating to:

- the flight ticket;
- the planned internal journeys, not included in the flight ticket;
- board and lodging;
- all services;

· to observe the rules regarding luggage (see point 7).

1.9. The List of journalists admitted to the Papal Flight for the Apostolic Journey of His Holiness Francis to Lithuania, Latvia and Estonia will be made available a few days after the deadline for the request for admission.

1.10. The permit for admission to the Papal Flight (and the accreditation badge issued by the Holy See Press Office, for those who do not hold an accreditation badge valid until 25 September 2018) may be collected exclusively on Friday, 21 September, 2018 from 10.00 to 14.00 from the Accreditation Office of the Holy See Press Office in Via della Conciliazione 54, ROME.

1.11. To obtain the permit for admission to the Papal Flight and to acquire travel documents, journalists admitted to the Papal Flight must present:

· the accreditation badge with plastic cover with base (for those who have one);

· the passport presented for the request for admission to the Papal Flight (see points 1.6 and 5), with Visa if necessary, to be obtained in accordance with the instructions below (see point 6.2).

1.12 Journalists admitted to the Papal Flight who cannot be present in person to collect the permit for admission to the Papal Flight (and the eventual accreditation badge for those who do not have one) are requested to delegate in writing a representative who must also present the documents indicated in point 1.11.

 

2.     Flight ticket for the Papal Flight, luggage check-in, boarding the Aircraft and rules to be observed during flights

2.1 Flight ticket for the Papal Flight

2.1.1 The airlines (ALITALIA and AIR BALTIC) declare that the cost of the ticket for the Apostolic Journey of His Holiness Pope Francis to Lithuania, Latvia and Estonia is approximately € 2.573,93 (taxes included).

2.1.2 The ticket can be collected exclusively on Friday, 21 September, 2018 from 10.00 to 14.00 at Peregrinatio ad Petri Sedem offices, in Via della Conciliazione 5, Rome.

2.1.3 Payment shall be made, after publication of the list of journalists admitted to the Papal Flight (see point 1.9), preferably by bank transfer to the following Unicredit account: name Peregrinatio ad Petri Sedem (IBAN: IT50F0200805008000101924278; SWIFT: UNCRITM1B88), including as the reason for payment the name of the journalist to whom it refers, and exceptionally by the major credit cards with embossed name, Bancomat or bank cheques. Cash payments cannot be accepted.

2.1.4 For those who pay by bank transfer, notwithstanding further information to the contrary, the figure indicated in point 2.1.1. is to be considered definitive. For online transfers, use the category “foreign account” and insert both the IBAN and SWIFT codes, and as reason for payment, the surname of the journalist or worker for whom it is being made. Receipt of payment by bank transfer can be sent by e-mail to the address aereo@peregrinatio.va, requesting confirmation of receipt; alternatively it should be presented, in addition to the documentation referred to in point 2.1.6, at the time of collecting the ticket on Friday, 21 September, 2018 (see point 2.1.2).

2.1.5 If for any reason there should be any changes to the programme of the Journey, and therefore in the air journeys, the cost of the individual journeys will not be reimbursed.

2.1.6 Those who pay for the ticket by means other than bank transfer are reminded that airport taxes are variable, and therefore the figure given in point 2.1.1 may be subject to minor changes.

2.1.7 For purchase or collection of the air ticket and to board the Papal Flight, it is necessary to be in possession of:

· the accreditation badge, along with the permit for admission to the Papal Flight, enclosed in its plastic case with base;

· the passport presented upon application for admission to the Papal Flight (see points 1.7 and 5), with Visa as necessary, obtained in accordance with the instructions given below (see point 6.2.).

2.1.8 Journalists admitted to the Papal Flight who are unable to collect their flight ticket in person are requested to delegate, in writing, a representative who must present the documents indicated in point 2.1.6 and the eventual receipt confirming the bank transfer (see points 2.1.3 and 2.1.4).

2.2. Luggage check-in and boarding the Papal Aircraft

2.2.1. Information regarding check-in and luggage handling operations, and boarding the Papal Aircraft, along with respective departures, will be communicated in due course.

2.2.2. It is essential that the indications be respected regarding check-in, especially the need to check in even if there is no luggage to be stowed in the hold. If it is impossible to appear personally for confirmed professional reasons, authorization to be substituted by a third person may be requested from the Assistant to the Director of the Holy See Press Office, who will provide further instructions.

2.2.3 Due to repeated delays in check-in operations for Papal Flights in the hotels during the Papal Journeys, it is necessary to repeat that there is a deadline for such operations; failure to observe these deadlines will lead to exclusion from the flights concerned.

2.2.4 It is always necessary to show the boarding card to the relevant personnel before boarding the aircraft; so as not to delay boarding operations and the passenger count, please keep this to hand from the moment of your arrival at the airport.

2.3. Rules to be observed during flights

2.3.1. Journalists admitted to the Papal Flight are reminded that, if requested by the airlines, it is severely prohibited to use mobile phones or satellite telephones on board during flights.

2.3.2. If the use of mobile phones is authorised on board, but the bandwidth of the available internet connection is insufficient to guarantee a fair and simultaneous use by all journalists, the order and manner of use of the connection will be governed by agreements previously made among the journalists present on board.

2.3.3 With regard to the use of any device for audio and video recording and of photo cameras, journalists and media operators admitted to the Papal Flight must observe the indications provided by the Holy See Press Office staff on board.

2.3.4 With regard to the use of other electronic devices (computers, cd rom etc), please check with the flight assistants.

2.3.5 The competent authorities also emphasize that the transportation of liquids in hand luggage is strictly regulated and limited. Therefore, to avoid their confiscation during security checks at the airport, please place containers holding liquids in luggage to be checked in.

2.3.6 Failure to respect the above mentioned arrangements calls for the implementation of severe measures on behalf of the organization.

 

3.     Prescriptions and health advice

3.1 Those affected by health issues requiring specific treatment throughout the journey are required to provide up-to-date clinical documentation, also regarding medicines used. All travellers are advised to carry indication of their blood group.

 

4.     Local accreditation

4.1 For those not participating in the Papal Flight

4.1.1 LITHUANIA

4.1.2 LATVIA

The competent local authorities indicate that the website for accreditation is the following:

4.1.3 ESTONIA

The deadline for applications is 7th September 2018.

4.2 For journalists admitted to the Papal Flight

For journalists admitted to the Papal Flight, the procedure for local accreditation is the exclusive responsibility of the Accreditation Office of the Holy See Press Office, which will obtain the local accreditation badges from the Coordinator of the information structure for the Apostolic Journey of the Holy Father to Lithuania, Latvia and Estonia.

Therefore, journalists admitted to the Papal Flight DO NOT need to make individual applications for local accreditation, and will receive their local accreditation badges from the Assistant to the Director of the Holy See Press Office.

 

5.     Passport

5.1. Journalists admitted to the Papal Flight must possess the passport presented during the procedure of admission to the Papal Flight, the number of which is indicated on the accreditation badge obtained from the Holy See Press Office.

5.2. The passport must be shown at the moment of receiving the permit for admission to the Papal Flight Friday, 21 September, 2018 and at the moment of check-in 22 September 2018.

5.3. The passport shall be collected at the moment of boarding in Rome Friday, 21 September, 2018 and will be returned before the return to Rome.

5.4. Travellers are therefore advised always to carry with them another valid identity document, other than the passport.

 

6.     Visa

6.1. For journalists not participating in the Papal Flight

Journalists not participating in the Papal Flight are requested to consult the consular representatives for Lithuania, Latvia and Estonia competent for the territory for information on Visa applications.

6.2. For journalists admitted to the Papal Flight

6.2.1 For journalists admitted to the Papal Flight, indications regarding the issue of the Visa will be given shortly. Journalists admitted to the Papal Flight are requested to apply for a Visa for Lithuania, Latvia and Estonia only according to the methods and timing communicated by e-mail by the Accreditation Office of the Holy See Press Office after the publication of the List of journalists admitted to the Papal Flight. Therefore, those who apply to participate to the Papal Flight are then asked to consult the consular Representatives of Lithuania, Latvia and Estonia, competent for the territory, only after the publication of the List of journalists admitted to the Papal Flight, and, for those who are admitted, only after receiving the eventual subsequent e-mail communication from the Accreditation Office of the Holy See Press Office.

 

7.     Luggage

7.1. For reasons of security and space on the aircraft, journalists admitted to the Papal Flight are requested to carry just one piece of personal luggage to be checked into the hold, and one piece of personal hand luggage.

7.2. Regulatory tags for personal hold luggage and for personal cabin (hand) luggage must be requested using the appropriate form (point 1.6).

7.3. Should particular professional needs make it necessary to carry additional pieces of luggage (either hold or cabin luggage), containing work material only, please apply at the Accreditation Office of the Holy See Press Office – by Thursday, 12th July, 2018 at 12.00 noon – using the specific form (point 1.6).

7.4. Additional luggage (hold or cabin luggage) must be numbered, specifying hold/cabin, indicating in detail the content of each piece (if necessary attaching an individual list of these pieces of additional luggage).

7.5. It is in any case necessary to reduce additional luggage as far as possible. Before issue, it will be necessary to confirm the real need for additional luggage for work. Applicants are advised that, should an excessive quantity of work luggage be presented, the air companies have the right not to board all pieces of luggage presented. Journalists admitted to the Papal Flight are therefore requested to collaborate fully in the necessary confirmation procedure. Should tags have to be collected by a delegate, this latter must be able to respond to the necessary questions.

7.6. All working material must be listed: not only that included in the work luggage, but also that included in personal luggage, for the customs declaration, to be presented by the Holy See Press Office to the competent Authorities of the country visited.

7.7. For satellite telephones, audio recorders, non-professional cameras and video cameras, etc., please indicate the brand and type; for computers and professional cameras and video cameras, also the serial number.

7.8. At the time of issuing the permit for admission to the Papal Flight – if requested – tags for two pieces of personal luggage (one hold, one cabin) will be granted, and – if approved – also tags for the additional pieces of luggage, containing work material, in accordance with the individual list submitted, according to request.

7.9. The tags will bear the following information: the consecutive personal number from the list of journalists admitted to the Papal Flight; the name and surname; the agency represented; the accreditation badge number; and the indication of the type of luggage (hold/cabin, personal/work).

7.10. The tags for luggage are strictly personal and cannot be used by anyone other than the holder, and for the pieces of luggage for which they were issued. In the case of non-compliance with these rules, the tags concerned will be removed.

7.11. At departure, and throughout the journey, the Airlines will not board any pieces of luggage without the tags issued by the Holy See Press Office.

7.12. Only the tags issued for the current journey are to be applied to the pieces of luggage for the hold or for the cabin.

7.13. The tags relating to previous journeys must be removed to avoid misunderstandings in luggage handling.

7.14. Should a tag be lost, this must be communicated in writing to the Assistant to the Director of the Holy See Press Office, at the same time requesting the issue of a substitute ticket. Please take care to attach the tickets to luggage correctly to avoid loss.

7.15. Each individual is responsible for their own luggage in relation to the customs Authorities.

7.16. The competent Authorities advise travellers to take personal care of their own luggage (both hold and cabin luggage) before every departure, and never to leave it unattended, even during check-in operations (until consignment to the local luggage transport service, with regard to hold luggage). In particular, in the case of luggage transfer by a porter, the owner is obliged to accompany his or her own luggage from the room up to consignment to the local luggage transport service. In addition, travellers are strongly urged to pack their own luggage before closing it, and to carefully check everything that is inserted in their own luggage (up to the final moment).

7.17. For the luggage consignment and/or check-in operations, it is necessary to be present in person.

8.     Hotel

8.1. Journalists admitted to the Papal Flight will stay in the following hotels, booked by the competent local Authorities:

8.1.1 VILNIUS (IN 22 September 2018 | OUT 25 September 2018)

The cost per person, per night (breakfast and taxes included) is € 110,00 per night.

8.2. The hotel costs (including breakfast) in Vilnius, of € 330,00 total for 3 nights (IN 22 September 2018 | OUT 25 September 2018) must be paid at the moment of check-out, along with other expenses incurred during the stay, directly at the hotel.

8.3 Each journalist admitted to the Papal Flight is required personally to settle expenses relating to his or her stay, and any other hotel services such as telephone, refreshments, etc., before check-out time, which will be communicated in due course.

8.4 In all hotels, use of the WIFI network is free for hotel guests.

8.5 Any further information regarding the hotel will be provided in due course.

 

9.     Press Centres, Information Structure, Telecommunications and Television Coverage

9.1 Press Centres

For the Apostolic Journey of His Holiness Francis to Lithuania, Latvia and Estonia the following Press Centres will be set up:

9.4. Television coverage

The local competent authorities inform that LRT will act as host broadcaster during the presence of the Holy Father in Lithuania (www.lrt.lt).

LETTONIA:
The local competent authorities inform that LATVIAN TELEVISION will act as host broadcaster during the presence of the Holy Father in Latvia (www.lsm.lv).

ESTONIA:
The local competent authorities inform that ESTONIAN PUBLIC BROADCASTING will act as host broadcaster during the presence of the Holy Father in Estonia.

9.4.2 Any further information regarding television coverage (live / streaming broadcasts, TV pools admitted to the Papal Flight, host broadcaster programmes, TV ENG pool coverage by the Vatican Television Centre, EBU, etc.) in the countries visited will be communicated as soon as possible.

10.   Speeches

10.1. The competent local Authorities will make the speeches of the Holy Father available to accredited journalists in the Press Centre, under embargo until the time they are pronounced, in the original version and in translations, in accordance with the instructions that will be provided in due course.

10.2. A special distribution will be reserved for journalists admitted to the Papal Flight, by the Assistant to the Director of the Holy See Press Office, in accordance with the rules that are included in the Work programme for journalists admitted to the Papal Flight.

10.3. The journalists admitted to the Papal Flight shall receive the speeches of the Holy Father, and any other documents under embargo, exclusively for personal use, and shall not make them known to third parties before the time of distribution in the Press Centres.

10.4. When a document is distributed under EMBARGO, this means that the media (agencies, newspapers, radio, television, etc.) may not publish it before the established time. For the agencies, embargo implies that it is prohibited to publish the text online until the end of the embargo.

The expression VALE SOLO QUANTO PRONUNCIATO (“only what is actually pronounced is valid”) means that only the text effectively pronounced by the Holy Father is valid. It is the responsibility of journalists to confirm any additions or changes at the moment of pronouncement. Indications shall be provided if only the speech previously distributed – or both speeches – were to be considered official.

10.5. The speeches of the Holy Father will be available also in the “Under Embargo” section of the Holy See website www.vatican.va (accessible with Logon ID and Password, which will be granted upon receipt of the accreditation badge at the Holy See Press Office), in accordance with the methods to be communicated in due course.

10.6. Local speeches shall be distributed by the competent local Authorities, by the same means used for the speech of the Holy Father.

11.   Attendance at events

11.1. For journalists not participating in the Papal Flight

11.1.1. In order to enter the places of events where a press presence is expected, journalists not participating in the Papal Flight must apply for a specific permit, following the procedures that will be made known by the competent local Authorities.

11.1.2. In accordance with the agreements with the competent local Authorities concerned, the badge for accreditation (permanent or temporary) at the Holy See Press Office is not valid without the permit for admission to the Papal Flight and, therefore, does not need to be worn visibly in the country visited during the journey. For this reason, journalists not participating in the Papal Flight are requested to wear visibly only the local accreditation badge.

11.2. For journalists admitted to the Papal Flight

11.2.1. For journalists admitted to the Papal Flight, the procedure for access to the places of events at which the press is expected to attend is the responsibility of the Assistant to the Director of the Holy See Press Office, by the following methods.

11.2.2. With regard to the permit for attendance at events by journalists admitted to the Papal Flight:

­ in principle “everyone” has access;
­ in some cases access may be “limited”;
­ due to particular logistical limitations, in other cases, access may exceptionally be “very restricted”.

11.2.3. The note on Attendance at Papal Ceremonies for journalists admitted to the Papal Flight will be sent individually by e-mail, following the publication of the List of journalists admitted to the Papal Flight.

11.2.4. The Lists of attendance at Papal Ceremonies, with the names of the journalists admitted to the Papal Flight who will attend the Papal ceremonies, will be drawn up considering:

­ the provisions received from the local Authorities responsible for the organization of the journey;
­ the agreements made with the competent local Authorities (services for accompaniment and local security Services);
­ individual applications received directly at the Accreditation Office of the Holy See Press Office in Via della Conciliazione 54, Rome, by photographic agencies or television companies;
­ the indications received via the Office of the presidency of the AIGAV, with regard to the presence of reporters (excluding television reporters).

The Lists of attendance at Papal Ceremonies will be included in the Work programme for journalists admitted to the Papal Flight.

11.2.5. Journalists admitted to the Papal Flight are requested to obtain the attendance permit for the events for which a press presence is anticipated, which will be distributed by the Assistant to the Director of the Holy See Press Office, in the times indicated in the Work programme for journalists admitted to the Papal Flight.

11.2.6. In order to be able to attend events, it is in any case necessary for journalists admitted to the Papal Flight to be included in the Lists of attendance at Papal Ceremonies.

11.2.7. For access to eventual places for live stand-up in the locations of events, as well as registration in the Lists of attendance at events, TV operators admitted to the Papal Flights:

a. shall make the necessary advance arrangements as determined by the local organizers in Lithuania, Latvia and Estonia;

b. if interested in eventual live stand-up in locations outside the regular Press Sectors of the areas of the events, cannot be included in the Lists of attendance at eventsreservedto journalists admitted to the Papal Flight, and must obtain independently the relevant particular access Permits from the competent local authorities; however, they can use the transport Service and accompaniment Service reserved to journalists admitted to the Papal Flight, as set out in the Work Programme, by prior communication to the Assistant to the Director of the Holy See Press Office.

 

11.2.8. Journalists admitted to the Papal Flight not included in the Lists of attendance at Papal Ceremonies will be able to present themselves, at the times to be included in the Work programme for journalists admitted to the Papal Flight, at the moment of re-assignment of any places left free by those who, included in the lists, no longer wish to attend.

Should any places become available, they will be re-assigned by the Assistant to the Director of the Holy See Press Office.

11.2.9. Any access permits received from third parties shall be submitted to the Assistant to the Director of the Holy See Press Office, in accordance with agreements with the competent local Authorities (coordinators of Service of accompaniment and of local security), regarding the number of places available to journalists admitted to the Papal Flight in the individual ceremonies.

11.2.10. The competent local Authorities (coordinators of the Services of accompaniment and the local security Service) state that access to Papal ceremonies to journalists admitted to the Papal Flight cannot be guaranteed if they do not use the local transport and accompaniment Service reserved to them.

11.2.11. For attendance at Papal ceremonies, suitable attire must be worn.

11.2.12. Journalists admitted to the Papal Flight are requested always to wear visibly the badge for accreditation at the Holy See Press Office, and the permit for admission to the Papal Flight, inserted in the plastic wallet with base (from the moment of check-in in Rome, until return), and in addition, ONLY the badge for local accreditation and the access permit specific for the relevant ceremony.

11.2.13. Loss of the local accreditation badge, or the badge for accreditation at the Holy See Press Office and the permit for admission to the Papal Flight must be reported in writing to the Assistant to the Director of the Holy See Press Office, at the same time requesting the issue of a provisional badge for accreditation at the Holy See Press Office and a substitute admission permit.

11.2.14. With regard to attendance at papal ceremonies with “limited” or “very restricted” access:

­ “briefings” will take place at the AIGAV point in the Press Centre, following the instructions which will be communicated to the Office of the secretariat of AIGAV; they will be held on the basis of a “pool report” (communicated by telephone by AIGAV staff for each ceremony), which shall in any case be inclusive;

­ Video and photographic material shall be made available in compliance with prior agreements, and by means to be communicated in due course.

12.   Transport for journalists admitted to the Papal Flight

12.1. The competent local Authorities shall be responsible for providing local transport with buses reserved exclusively to journalists admitted to the Papal Flight, with the local accompaniment and security Services, and police escort, following indications from the Holy See Press Office.

12.2. The buses reserved to the journalists admitted to the Papal Flight may be boarded only by persons carrying a card of accreditation at the Holy See Press Office with permit for admission to the Papal Flight and the local accreditation badge, and registered on the attendance List for the specific ceremony.

12.3. TV operators admitted to the Papal Flight who have obtained the relevant particular access Permits directly from the competent local Authorities for access to eventual live stand-ups not in the regular Press Sector in the locations for events (see point 11.2.7), may use the transport Service and accompaniment Service reserved to journalists admitted to the Papal Flight, as stated in the Work programme, by prior agreement with the Assistant to the Director of the Holy See Press Office.

12.4. For logistical and security reasons, means of transport not authorized by the local security Service are not admitted in the column escorted by the police of the means of transport reserved to journalists admitted to the Papal Flight. Eventual requests for authorization must be arranged by prior agreement with the Assistant to the Director of the Holy See Press Office.

12.5. The organization of air transfers relating to the Papal Flight, with check-in operations, passport control, security checks and transfers to airports, are the responsibility of the Holy See consultant for air transfers.

12.6. Data regarding transport (means used, timetable and departure place, etc.) may be subject to unexpected changes should they become necessary during the journey. Necessary information will be provided as soon as possible.

12.7. To avoid misunderstandings and confusion, please take into account any changes to the Work programme for journalists admitted to the Papal Flight, or changes to the logistical provisions, only if communicated by the Assistant to the Director of the Holy See Press Office, who will be responsible for contacts with the Authorities responsible for the organization of the journey, with the competent local Authorities, with the Holy See consultant for air transfers, with the local security Service staff, with the staff of the Service for accompaniment of journalists admitted to the Papal Flight and the police escort service for land transfers.

12.8. To ensure that the work programme is adhered to punctually, please – with respect fro the legitimate needs and professional independence of each person – observe in particular the times for check-in, boarding and departures.

12.9. Eventual failure to board remains entirely the responsibility of those who do not appear in time for the planned departures.

12.10. With particular emphasis, please keep in mind that it is in any case good practice not to appear at the last minute for checking luggage into the hold, for check-in and for boarding, so as not to delay the planned departures and not to prejudice access to the Papal ceremonies, due to eventual delays in relation to local security provisions.

12.11. The programme of local transport, coordinated with the competent local Authorities, will be made know in the Work programme for journalists admitted to the Papal Flight.

The websites to consult for all information from the competent local Authorities will be communicated as soon as possible.

 

14.   Additions to the current “Documentation”

14.1. Further information and eventual variations to the logistical provisions contained in the present Logistical documentation for journalists admitted to the Papal Flight will be communicated as soon as possible, via a Notice in the Holy See Press Office Bulletin or via Additions to the present documentation.

15.   Work programme for journalists admitted to the Papal Flight

The Work programme for journalists admitted to the Papal Flight is a fully integrated and updated programme, drawn up with the logistical data provided by the Authorities responsible for the journey and by the competent local Authorities, for internal use within the Holy See Press Office. It is provided to journalists admitted to the Papal Flight at the moment of issuing the Permit for admission to the Papal Flight.
